Job Summary
The Department of Linguistics and the Weinberg Institute for Cognitive Science are seeking candidates with advanced administrative skills in event planning, facilities coordination, and implementation efforts across two units.
Due to the collaborative nature of the position, the candidate must be customer-service focused, team-oriented, and an effective communicator who works with a positive attitude. The individual selected for this position must exercise sound judgment, have a welcoming and professional demeanor and have the demonstrated ability to work with diverse individuals and groups. The ideal candidate will be a self-motivated person that is flexible with changing assignments and priorities , highly organized, comfortable managing multiple projects and possesses great attention to detail. A summary of the major duties of this position include, but is not limited to, the following:
Departmental Administrative Support
Event Planning (55%)
Provide full event planning and management support for meetings.
Be present at events to manage all event details, as needed.
Plan and implement a wide range of academic events such as conferences, symposia, lectures, and colloquia as well as annual departmental receptions.
Work closely with faculty, graduate students, and staff to plan all small and large scale event logistics including, but not limited to timeline management, invitations, accommodations, transportation, facilities, and room reservations, catering, signage, audio/visual (AV) arrangements, displays, special needs requirements, printing/ event communications, photography/recording, and honorarium payments.
Communicate with invited guests about event logistics including itineraries, travel, and hotel arrangements.
Web content updates.
Promote an atmosphere of teamwork and provide backup support for other staff as needed.
Other relevant tasks as requested and assigned.
Facilities Management (45%)
Serve as the primary contact for Departmental facilities projects and serve on the Building Incident Response Team (BIRT).
Determine departmental project needs (renovations, lab set-ups, repairs, furniture, and space utilization).
Place orders and oversee delivery/installation/work and property disposition.
Coordinate with Plant, LSA Facilities, ITCOM and LSA movers team for all department facilities projects.
Create and install door signs for all offices and common spaces in Lorch Hall.
Management building security access (Ccure), locking/unlocking doors, keys.
Maintain and update bulletin boards and electronic signage.
Facilitate room scheduling requests.
Determine equipment needs.
Manage computer lad computing needs.

Required Qualifications*
High School diploma or equivalent experience.
3 or more years of progressively responsible event planning, support, and coordination experience.
Demonstrated proficiency in MS Office applications (Excel, Word applications) and Google Suite.
Ability to work in a changing environment, with the ability to effectively adapt and be flexible.
Proven ability to effectively triage, prioritize, multitask, and adapt as priorities shift.
Strong organization, attention to detail and accuracy, ability to take ownership of tasks and projects, and strong communication skills.
Demonstrated ability to work in a team environment as well as independently.
Handle multiple assignments and deadlines, and display excellent judgment while operating in a flexible and professional manner.
Commitment to actively participate in maintaining a positive work environment and an open, welcoming, helpful and inclusive department and university climate.

Additional Information
The salary range is $36,000-$45,000, please note a higher salary may be offered based on equity and the selected candidate's experience.
