Summary The University of Michigan, School of Nursing (UMSN), Clinical Learning Center (CLC) is seeking a Administrative Assistant who will report to the co-Directors of the CLC. The Administrative Assistant will provide administrative support to the logistics of the Standardized Patient (SP) program, including recruitment and scheduling, and in the day-to-day operations of the CLC. This position requires on-site work at the U-M School of Nursing. Responsibilities* * Provide administrative support for overall general office tasks, including, but not limited to: meeting scheduling, coordination, and recording; calendar management; travel arrangements; special event planning; and correspondence. * Coordination of Standardized Patient events: * Assist with standardized patient coordination, scheduling standardized patients, organizing, and scheduling SP events in collaboration with faculty * Supports co-Director in maintaining adequate SP pool, including recruitment, front-line screening, onboarding, and scheduling * Assist with coordinating and facilitating event logistics for SP events and telehealth events. * Liaison with Development Office for alumni engagement. * Support purchasing needs for the office by ordering through MSC Industrial Supply and other venues per University of Michigan specifications. * Assist with writing and editing documents. * Perform office duties including mail distribution, outgoing mail preparation, data entry, photocopying, scanning, faxing, providing telephone coverage if needed and filing/maintaining files. * Organize/update the M-Box files and files located on the shared drive. * Data entry in the inventory system and run various reports. * Oversee the CLC mailbox and other administrative support duties as needed The above statements are intended to describe the general nature and level of work to be performed and are not an exhaustive list of all associated responsibilities. SUPERVISION RECEIVED Supervision is received from the co-Directors of the Clinical Learning Center. Required Qualifications* Education and Experience: * A bachelor's degree is preferred and/or combination of relevant experience. * 1-2 years of direct administrative experience required. * Experience in an educational environment is preferred. * Candidate must have excellent interpersonal skills, organizational and presentation skills, with the ability to receive and convey information clearly and concisely for various mediums. * Demonstrated proficiency at the intermediate level with Microsoft Office products (including Word, Excel, PowerPoint and Outlook). Attributes: * Demonstrated excellent customer service skills. * Demonstrated effective team spirit, dependability, and initiative. * Ability to serve diverse populations. * Demonstrated ability to plan, organize and accept direction from others. * Demonstrated ability to establish excellent working relationships with faculty, staff, students and prospective students and their families. Must have the ability to work comfortably with individuals at all levels. * Must be able to demonstrate ability to set priorities and multi-task and meet deadlines. * Demonstrated ability to receive tasks, and then work independently through the completion of those tasks with proficiency and accuracy * Must possess a high level of attention to detail. * Must be reliable, committed to high quality service, and able to meet deadlines in a fast-pace environment. * Must have excellent judgment with a professional demeanor and presentation of self. * Proven ability to pay attention to detail and follow-through on tasks to completion. Work Schedule Hours: 40 Shift/Hours/Days: 8:00 a.m. - 5:00 p.m., Monday through Friday; may include some occasional weekend and/or evening hours.
