Summary As an Administrative Assistant Intermediate you will work alongside other Administrative Assistants under the direction of UMTRI's Business Administrator and will serve as the core administrative support for faculty, staff, and students from assigned research groups. This is a hybrid position involving work to be completed onsite and remote. At this time, Administrative Assistants at UMTRI are onsite 2 days/week, and schedules are planned so that there is always at least 1 member of the team onsite each day of the week. Workday start and end times are flexible and will be determined by the successful candidate and their supervisor. UMTRI is located on North Campus with convenient parking. Who We Are The University of Michigan Transportation Research Institute (UMTRI) is recognized internationally for our multidisciplinary research focusing on transportation safety and mobility (http://umtri.umich.edu). We maintain the highest standards of excellence as we conduct research that improves peoples' lives through access to safe and equitable mobility. UMTRI is a non-degree-granting unit within the College of Engineering at the University of Michigan that includes 20 faculty members, 65 research staff, and over 100 student researchers. During the last fiscal year, UMTRI generated $19M in research expenditures with funding from a wide range of government agencies and industry partners. Responsibilities* Provide comprehensive, general administrative support to assigned research groups that includes faculty, staff, students & visitors. Related duties will include: Procurement: The provision of procurement supplies and services for multiple research groups. * Processing/reconciliation of pcards for group heads. Serving as a resource for other cardholders with Concur expense reports. * Process vouchers, cash receipt deposits, wire transfers and other financial transactions. * Review, investigate and resolve erroneous charges as requested. May process JE's as requested. Payroll: * Serve as the central timekeeper of both direct appointment employees and Non-Instructional Sponsored Pool appointments. Responsibilities include sending out notifications of deadlines, maintaining assigned static groups, collecting, reviewing for accuracy and routing for approvals. * Track timesheet matters that are outside of MPathways ex: FMLA, SURE student hours, postdoc timesheets, eforms for LEO's. * Process correction vouchers as needed. * Serve as the timekeeping resources for employees. Events/Travel: * Provide meeting and event planning services (both online and in-person). Development and distribution of event invitations and fliers, venue selection, meal/hosting plans, registration of participants, development and preparation of meeting materials, coordination and acquisition of equipment needs for presenters, provide support services for all attendees. * If requested, make travel arrangements for group heads. * Serve as a resource for faculty and staff when it comes to travel and hosting guidelines. Support Services: * Mail sorting and distribution. * Entering content on the lobby monitor. * Vetting emails and phone calls to UMTRI's main line. * Making copies, printing and scanning. * Facilitate outgoing shipping requests. * Proofreading. * Maintaining lists of experiential learning students, obtaining signatures on forms/letters. Required Qualifications* * Requires a high school education or equivalent and 2-4 years of experience. * Excellent organizational and interpersonal skills including the ability to work cooperatively with faculty and staff * Strong attention to detail * Demonstrated ability to exercise independent judgment, ability to think analytically and employ basic reasoning skills * Strong Proficiency using MicroSoft Office along with various computer applications such as Google Suite * Ability to handle multiple tasks in a fast-paced environment while completing deadlines Desired Qualifications* * Bachelor's degree or equivalent combination of education and experience is desired * Knowledge of University of Michigan policies * Prior experience with MPathways system and Concur Additional Information Michigan Engineering's vision is to be a world-wide preeminent college of engineering serving the common good.
