to this position.SummaryThe U-M Office of the Vice President for
Research (OVPR) oversees a variety of interdisciplinary units that
collaborate with faculty, staff, students and external partners to
catalyze, support and safeguard research and scholarship activity
across the Ann Arbor, Dearborn, and Flint campuses. The Research
Compliance Office under OVPR is dedicated to fostering within the
U-M research community a culture of sustained excellence,
compassionate care, and shared responsibility for upholding the
highest animal welfare standards in all aspects of research,
testing, and teaching, as well as the safety of laboratory
personnel engaged in research. The Research Compliance Office seeks
a talented and motivated individual for a position providing
administrative support to both the divisions of Animal Care and Use
and Research Safety Compliance.These units support several research
compliance committees (i.e., Institutional Animal Care and Use
Committee, Institutional Biosafety Committee, Controlled Substances
in Research Committee). The individual in this role must be able to
work independently in a rapidly changing environment while
effectively addressing and managing significant competing
priorities and duties.Responsibilities
- Under direct supervision, the Administrative Assistant
Associate responsibilities include the following:Serve as initial
customer service point of contact for the office, screening,
prioritizing, and routing all inquiries and correspondence
following established procedures Communicate and assist faculty and
laboratory members with forms and required actions Process forms
and assure compliance with protocol requirements Support committees
through scheduling, agenda preparation, recording attendance,
taking clear minutes, and post-meeting document management Assist
Director's administrative assistant with the support of the
Director, when needed Assist in event planning and hosting
arrangements for meetings and special events Assist in tracking and
reconciling expenses associated with department purchases, travel
and events Inventory, organize, and order office supplies, posters,
printings Serve as point of contact for maintenance of equipment
(laptops, copier, etc) Maintain inventories of office technology
and other equipment (office and remote) Manage room reservations
for multiple committees and ad hoc meetings Maintain accurate data
and run reports from various sources Function as an effective
member of a multidisciplinary team Address a wide variety of
miscellaneous departmental requests Complete assigned projects and
process improvements Participate in focus-team efforts Additional
duties as assigned RequiredQualifications
- Bachelor's degree or equivalent combination of education and
experience At least two years' experience providing administrative
support in an office environment Excellent attention to detail and
follow-through on tasks Excellent interpersonal, verbal, and
written communication, as well as collaborative skills Demonstrated
organizational skills, ability to take initiative, set priorities,
and manage multiple projects simultaneously Demonstrated ability to
interact professionally with a diverse group of customers while
providing a high level of service Advanced skills with Microsoft
and Google office suites, Adobe Acrobat, and comfort with learning
new software Ability to follow established procedures, handle a
variety of tasks concurrently, set priorities and meet deadlines
Ability to exercise independent good judgement, confidentiality,
and diplomacy Ability and desire to work independently, be part of
a team, and be a self-starter DesiredQualifications
- Experience working in an academic environment Knowledge of
University policies and procedures Experience with both Outlook and
Google calendar and email Experience with M-Pathways and
procurement (M-Marketsite), Concur travel, and P-Card
reconciliation Experience with complex calendaring tasks for
individuals and groups Background Screening The University of
