SummaryThe University of Michigan, School of Nursing (UMSN) is seeking a Facilities/Administrative Assistant with a positive outlook and flexible attitude to perform a variety of facilities and general administrative duties. Responsibilities Respond to and direct routine in-person, email and telephone facilities inquiries. Handle reports of facilities problems, use discretion to appropriately refer complex issues to higher levels. Coordinate business vehicle reservations, driver verifications and vehicle maintenance. Assist with preparing office space for new hires and office moves, including arranging and performing light cleaning of office furnishings and new office signage. Routinely arrange furniture and equipment weighing up to 50 pounds. Coordinate the school's visitor parking pass program. Maintain the long-term files storage program, coordinate requests for shredding and files relocation. Perform weekly classroom maintenance checks. Perform monthly AED battery checks. Process key requests and maintain internal key database. Provide back-up administration of the key card access systems for UMSN buildings. Provide back-up front desk coverage. Assist in creating a welcoming, organized and professional office environment. Greet guests, students, faculty and staff, providing excellent customer service. Work with front desk staff to ensure regular clearing of the lost and found. Accept deliveries and distribute them to the intended recipients. Coordinate deliveries tracking and logging process. Provide general administrative and clerical support as assigned. Create and maintain spreadsheets. Assist with meeting logistics including reserving and arranging tables, chairs and other equipment, typically working independently. Coordinate outside movers for large-scale furniture moves as directed. Perform occasional minor custodial activities such as cleaning up spills, spot vacuuming, wiping down tables and desks, break areas, etc. The above statements are intended to describe the general nature and level of work to be performed and are not an exhaustive list of all associated responsibilities. SUPERVISION RECEIVED Supervision is received from the Facilities Manager. Required QualificationsEducation and Experience: Associates degree preferred and/or equivalent combination of education and experience is required. Minimum of one (1) to two (2) years of administrative experience in a customer service-oriented environment. Must be able to move and transport boxes weighing up to 50 pounds. Candidate must maintain a valid driver's license and agree to an annual U-M Motor Vehicle Record check. Candidate must have excellent teamwork and superior communication skills, with the ability to receive and convey information clearly and concisely for various mediums including written and verbal correspondence. Demonstrated proficiency with Microsoft Office products (Word, Excel, Outlook and PowerPoint) and Google Suite (Drive, Sheets, Docs, and Forms) products. Attributes: Must be customer service driven. Must have sound judgment and alertness. Proven ability to pay attention to detail and follow-through on tasks to completion. Demonstrated initiative and reliability in previous roles. Knowledge of customer service principles and practices. Ability to prioritize and execute multiple requests for assistance. Ability to work with hand tools for small equipment assembly and minor repair projects. Knowledge of administrative and clerical procedures. Working knowledge and understanding of the U-M organization, policies and procedures is preferred. Additional InformationShift/Hours/Days: 7:30 a.m. - 4:30 p.m., Monday - Friday; may include some occasional early mornings, weekend and/or evening hours.
